Register your individual representatives for the conference. Remember that all exhibitor representatives must be registered for the conference. Your booth package includes at least one complimentary registration(s), but you still need to officially register each person (and select "invoice me" as payment type so that we can credit you for the one that comes with your booth). Additional representatives will need to pay for either conference
Reserve your hotel room. Visit the following page for instructions on making your hotel reservation. HOTEL RESERVATION
Verify your administrative contact. Check with the person at your company who completed the booth registration forms and ensure that the confirmation email has listed the correct administrative contact information for your company. This is how we will contact you about payment, logistics, booth assignments, reminders, etc.
Update your mobile app profile. Use the form that was emailed to you (unique link).
Submit payment for your partnership package by March 1, 2024. Previous booth selections will be returned to the open selection of booths if payment has not been received by March 1, 2024.
Review Cancellation Policy. Exhibitor cancellation made prior to January 31, 2024 will result in a loss of $100 (cancellation fee). Cancellations made after January 31, 2024, but prior to March 1, 2024, will result in a loss of 50% of total payment. NO REFUNDS WILL BE MADE AFTER March 1, 2024. Any applicant who fails to show and setup during the prescribed exhibit hall set-up hours agrees that their exhibit space and any amount paid shall be retained by TxDLA.
Order furniture and accessories from the official decorating company. Please see the exhibitor kit for ordering information and pricing. You will receive a link to the online exhibitor kit with user name and password information. If you did not receive it, please contact Lisa Tomsio. The exhibit hall is carpeted.
Order any special A/V, internet, or electricity above what is provided with your booth package. All packages come with a WIRELESS internet connection and a basic electrical connection with the EXCEPTION of BASIC VENDOR package. Please see the exhibitor kit that was emailed to you by the decorator for ordering information and pricing. Basic vendor exhibitors will need to order electricity through the hotel using these forms, or if you prefer a WIRED internet connection, you will need to complete the appropriate form below and provide payment to the hotel separately for the upgrade.

Decide and plan on providing optional attendee conference bag stuffers. Some exhibitors have the opportunity to provide small promotional item or free trial in attendee registration bags (link emailed to attendees for free trials). We encourage useful promotional items, tools, or media rather than paper brochures/flyers. You must provide enough quantity for all registrants (approximately 350). Please contact Lisa Tomsio for details and shipment information.
Look for the pre-conference attendee list approximately one (1) week prior to the conference. Requests for the list made by exhibitors prior to one week before the conference will be disregarded.
Promote that you are exhibiting at the TxDLA Conference by including the dates of the conference or sharing information from this website.

Q: Can we commit to something now, and pay later during the appropriate quarterly budgeting cycle?
Yes! We would like to have the commitment in a timely manner to better facilitate the planning process while being sensitive to the budgeting timelines of many companies. Therefore, payment of the invoice can be arranged after January 1 to coincide with the first quarter budgeting cycle. Please plan to pay as soon after the first of the year as possible.
Q: Can I add sponsorships or inkind contributions at a later date?
Yes, please contact Lisa Tomsio to add sponsorships and in-kind contributions, add another booth, update logos, or company information, add contact information, etc.
Q: Are conference registrations included with the costs of the Exhibit Hall booths?
One full conference registration, including complimentary TxDLA memberships, are included with all booth packages. This registration will allow your personnel to be active participants in the conference, and attend all general sessions and meal functions, including the evening dinners and entertainment, which provides opportunities for increased interaction with conference attendees.
Q: May I bring as many staff members as I want?
Yes. TxDLA recognizes the need for more staffing during the Exhibit Hall hours and offers an additional TWO (2) exhibitor badge passes (except Basic Vendor Package) in which business cards can be inserted for identification. These badges can be shared among your booth representatives/workers who will be working at the booth only and not attending the conference. Representatives who use these badge passes will NOT be provided with meal tickets, but may purchase meal tickets by contacting Lisa Tomsio . Additional exhibitor attendees above the complimentary conference registrations and two (2) badge passes will be required to register at the standard exhibitor fee for the conference (includes all sessions, meals, etc.).
